Data Privacy Certification Requirements and Process

Certification Requirements for Institutions

• Be a member of 1EdTech (Affiliate or Contributing).
• Complete the Data Privacy and Accessibility module of the TrustEd Apps Certified Leader (TACL) program.
• Conduct a review of an application with a 1EdTech staff member.
• Conduct a review independently using the 1Edtech app vetting process, and the 1EdTech TrustEd Apps Data Privacy Rubric.
• Collaborate with 1EdTech staff to resolve issues that may arise in the 1EdTech TrustEd Apps data privacy vetting process.

Certification Process for Institutions

• A 1EdTech member institution initiates the request for the 1EdTech TrustEd Apps Seal of Data Privacy by contacting TrustEdApps@1edtech.org.

• A 1EdTech staff member schedules an online meeting with designated individual(s) for app vetting from the institution to provide an orientation to the 1EdTech TrustEd Apps data privacy vetting process and an overview of the necessary requirements for achieving the 1EdTech TrustEd Apps Seal of Data Privacy. At this time, any additional app vetting goals for the institution are collaboratively reviewed and set. The attendee(s) are shown how to access member resources for app vetting, including the 1EdTech TrustEd Apps Product Directory, the 1EdTech TrustEd Apps Data Privacy Rubric and online training materials. Finally, directions for participation in the Data Privacy and Accessibility module of the TrustEd Apps Certified Leader (TACL) program are provided.

• A 1EdTech staff member facilitates the TACL training module for the enrolled individual(s) from the institution that includes a thorough review of an application’s Privacy Policy, and Terms of Service using the 1EdTech TrustEd Apps Data Privacy Rubric and an overview of federal privacy laws (COPPA/FERPA). The 1EdTech staff member also answers any questions about the 1EdTech TrustEd Apps vetting process.

• The attendee then completes an independent review of an application’s Privacy Policy and Terms of Service using the 1EdTech TrustEd Apps Data Privacy Rubric and submits that review to TrustEdApps@1edtech.org within 30 days.

• A 1EdTech staff member notifies the individual from the institution with feedback on the review. If any additional information is required, the individual is notified of what areas need attention. The individual is then given ten days from the above notification to update its review to reflect any identified changes or issues. Once the individual from the institution satisfactorily addresses any concerns and notifies 1EdTech staff of those changes, the individual may complete the assessment for the Data Privacy and Accessibility module of the TACL program.

• If an individual receives a score of 80% or higher on the assessment for the Data Privacy and Accessibility module of the TACL program, the seal can be awarded.

• A list of institutions that have received the seal is published on the 1EdTech website. 1EdTech member institutions may publish the seal on their website or in marketing materials.

• The 1EdTech Community periodically updates the TrustEd Apps Data Privacy Rubric to improve it to meet the needs of the users and the market. Applications must be vetted again with each new release of the rubric.

• A seal must be renewed every three years by the date the seal was awarded, and the individual from the institution is notified 60 days before its expiration to meet the certification requirements. The certification renewal must be completed to continue publishing the 1EdTech TrustEd Apps Seal of Data Privacy.

• If the individual continues to fulfill all of the requirements, they maintain the status of the seal and receives a new seal for that period. If the individual does not fulfill the certification requirements, the seal expires on the three-year anniversary of the award date. Until the requirements for the seal are completed, the institution must remove all references and images of the seal from its website and marketing materials.
